About the Role

  • Role: Team Coordinator & Administrator
  • Hours: Part-time - 3 days per week
  • Location: Office Based, Kings Cross
  • Salary: £22,800 for 3 days a week (£38,000 FTE)

Due to the recent growth of BRODIE as an organisation, the need for a strong and proactive Team Coordinator has been identified.

In this new position, which you will have an opportunity to shape as you learn, you will play a crucial role in ensuring the smooth operation of our busy and friendly team. You will be responsible for a variety of administrative and consultant support tasks which will include diary scheduling, meeting organisation, event planning, travel bookings and the management of our London workspace.

What You Will Be Doing

Initially responsible for supporting UK based team members only, we also envisage a future where you provide ad hoc support to our new US based operation, as it becomes established.

Office Management (10%)

  • Liaison with our office provider FORA – from “in the moment” troubleshooting to longer term planning discussions
  • Fire Warden and Health & Safety Officer roles
  • Access arrangements and welcome for visitors
  • Meeting logistics, equipment and catering, as needed
  • Familiarity with technology for basic problem solving (such as presenting and Teams)
  • Handling of incoming postal and administrative correspondence
  • Ordering stationery and other office equipment

Executive Assistance To Directors (25%)

  • Provision of comprehensive administrative support to our small team of Directors, including travel and expenses
  • Attendance at Directors’ meetings, as needed
  • Handling of confidential and sensitive information with discretion and in a secure manner

Full BRODIE Team Support (25%)

  • Management of all travel schedules, bookings, visas etc
  • Provision of Team diary support, including the scheduling and communication of team meetings and events
  • Proactive identification of opportunities to further support the team in driving efficiency and effectiveness
  • Coordination of team communications
  • Management of general BRODIE inbox and filing systems
  • Management of expert printing, when needed
  • Administration of BRODIE client and partner contact database as per GDPR

Finance Support (20%)

  • Assisting with monitoring the finance inbox and posting supplier invoices into Xero
  • Sending supplier invoices out to BRODIE team for approval
  • Tracking Freelancer activity and invoices – monthly tracking & chasing
  • Collecting & matching corporate card receipts
  • Monitoring of Finance inbox for above activities / flagging to JLN or KU

Meeting & Events (10%)

  • Full support for office-based, virtual and off-site meeting and events as needed. This may include sourcing optimal venues, experts, catering etc
  • Attendance at team meetings, preparing materials in advance and recording outcomes as appropriate
  • Preparing, proof-reading and editing of documents or presentations as needed

Ad Hoc Support (10%)

  • Ability to stay close to team activities and projects, offering valuable support as needed
  • Management and delivery of ad hoc tasks and projects as needed

What we Are Looking For

We are looking for a superstar coordinator and the ideal candidate will have exceptional organisational skills and a strong desire to contribute to our high performing team in our London office. Although not a requirement, experience of a similar role in a small and fast-paced, client-focused consultancy would be an advantage.

Functional Skills

  • A minimum of two years’ experience in a similar team coordination/ administrator role
  • Exceptional attention to detail
  • Strong planning and time management skills
  • Excellent written and verbal communication in English
  • Creative problem-solving skills
  • Expert in Microsoft 365 suite use
  • Some financial admin experience desirable, but not essential, guidance and support can be provided in this area
