As part of our Buildings & Retrofit Advice Team, you will help deliver and expand Let Zero - our One Stop Shop supporting landlords and tenants to decarbonise Private Rented Sector homes across South Yorkshire. Let Zero is entering its second funded phase, evolving from an Innovate UK innovation programme into a maturing operational service with long-term potential for national scale and commercialisation.

This role is central to strengthening Let Zero’s delivery capacity and shaping how we scale our retrofit services over the coming years.

Purpose of the Role

To coordinate and manage multiple retrofit projects through all stages of the PAS2035 process and the Let Zero One Stop Shop model. This includes customer engagement, project scheduling, compliance documentation, contractor coordination, quality assurance, and continuous improvement of delivery processes.

In addition, as Pure Leapfrog develops new commercial retrofit services, the role will help identify opportunities, support proposal development and contribute to the expansion of our wider retrofit portfolio.

You will be reporting into Head of Energy Advice Services.

Key Responsibilities

1. Retrofit Project Delivery & Coordination

  • Manage a portfolio of retrofit projects concurrently, ensuring timely delivery and high-quality outcomes.
  • Maintain oversight of landlord and tenant engagement, ensuring that primary points of contact are established and communication is effective throughout the project lifecycle.
  • Coordinate site surveys, Retrofit Assessments, designs, installation works and post-installation checks.
  • Track project progress, risks, issues and milestones, escalating where appropriate.
  • Provide technical advice and support on whole-house retrofit principles, damp and mould issues and PRS-specific challenges.
  • Ensure residents and landlords clearly understand recommendations, processes and next steps.

2. PAS2035 Compliance & Quality Assurance

  • Perform PAS2035 Retrofit Coordinator duties including producing risk assessments, medium-term plans and compliance documentation.
  • Ensure all project files meet TrustMark/PAS2035 documentation requirements.
  • Review and verify technical information such as assessments, designs and installation evidence.
  • Support lodgement of projects into TrustMark or other compliance platforms.
  • Conduct quality assurance checks, including on-site inspections when required.
  • Coordinate insurance requirements to support compliance with ECMK and related retrofit accreditations.

3. Project Scheduling, Data Management & Reporting

  • Maintain an active programme of projects and allocate tasks to the wider Let Zero team.
  • Monitor project KPIs, performance metrics and funder reporting requirements.
  • Maintain accurate, up-to-date records of activities, outputs, and project information using agreed tracking tools and systems.
  • Support evaluation, monitoring and learning activities to demonstrate impact.

4. Contractor & Supply Chain Coordination

  • Liaise with installers, assessors, designers and other contractors to ensure efficient workflow.
  • Support procurement processes, including obtaining quotes, checking compliance (PAS2030, TrustMark) and onboarding suppliers.
  • Monitor contractor performance and resolve operational issues.

5. Service Innovation & Systems Improvement

  • Contribute to ongoing testing and refinement of the Let Zero One Stop Shop model.
  • Identify opportunities to increase efficiency, reduce costs and improve customer experience.
  • Help design and implement improved workflows, tools and templates.

6. Business Development & External Engagement

  • Identify emerging opportunities for commercial retrofit services and consultancy work.
  • Support the preparation of proposals, tenders, quotes and service offers as required.
  • Represent Let Zero and Pure Leapfrog at external meetings, events and partnerships.
  • Build positive relationships with landlords, stakeholders, local authorities, professional networks and retrofit ecosystems.
  • Gather market insight to inform future service design and commercial strategy.

Person Specification

Essential Qualifications & Experience

  • Level 5 Diploma in Retrofit Coordination and Risk Management
  • Level 3 Award in Energy Efficiency for Older & Traditional Buildings.
  • Minimum 3 years' experience in project delivery in construction, retrofit, housing or related fields.
  • Proven experience working on PAS2035/PAS2030 projects.
  • Strong project management skills: able to run multiple projects at pace.
  • Experience coordinating diverse stakeholders (contractors, landlords, tenants, suppliers).
  • Excellent written and verbal communication skills, with ability to explain technical concepts simply.
  • Strong organisational skills with a high level of accuracy and attention to detail.
  • Data-literate, with confidence in accurately recording, managing, and reporting information using appropriate systems or tools.

Desirable

  • Architectural Technologist, Building Surveyor, or Architect, with chartered status (or working towards) in a relevant professional body (e.g. CIAT, RICS).
  • Experience delivering retrofit in the PRS or with complex households.
  • Consultancy or business development experience.
  • Experience with quality assurance, auditing or compliance systems.
  • Team leadership or mentoring experience.

Location & Travel

  • Based in or near South Yorkshire, with regular in-person work across the region.
  • At least two days per week working from Sheffield with the Buildings & Retrofit Advice team.
  • Travel to tenant homes and landlord properties is required.
  • A valid driving licence and access to a vehicle is essential.
