The role
We're looking for a Tender Administrator to support our Bid Manager with the day-to-day administration of the tender process and framework management, and with tracking tender alerts, bid feedback and social value commitments. You'll be central to how Joju Solar identifies, pursues and wins public sector and commercial contracts.
Key responsibilities
- Manage the Tenders inbox and monitor tender sites and frameworks, identifying and circulating opportunities worth pursuing
- Assess tender specifications and present viable opportunities at the weekly Tender Decisions Meeting, which you'll also organise and lead
- Set up kick-off meetings, coordinate site visits, and ensure Joju is registered and ready to submit on every relevant portal ahead of deadlines
- Review and submit bid responses, handling client clarification questions and, where needed, leading successful handovers or requesting feedback on unsuccessful bids
- Support the Bid Manager with tender responses and contribute to bid writing, with training provided
- Keep tender records and pipeline reporting up to date on HubSpot, and update Directors via the Pipeline Meeting
- Maintain the Tender Response library, bid feedback documentation and Tender Library of supporting documents
- Manage Joju's framework and Dynamic Purchasing System memberships, portal logins, and social value commitments, deputising for the Bid Manager as needed
Person specification
Qualifications
- A-Levels in relevant subjects (e.g. English Language)
- A relevant degree (English, Environmental Sciences, Geography or similar, involving essay/dissertation writing)
Knowledge & experience
- Previous role in bid management, tender writing, procurement or similar; experience of essay/dissertation-style writing; experience working to deadlines and coordinating input from others
Skills
- High attention to detail; excellent grammar and spelling; organised and able to adhere to strict deadlines
- Experience managing your own and others' time and scheduling input from multiple people
Personal qualities
- Independent and trustworthy; strong communication skills; strategic thinking; a team player
- Able to work autonomously with occasional input; persuasive writing and stakeholder engagement; understanding of client needs and market awareness; strong collaboration and decision-making
