Job Purpose

To provide high level, confidential, proactive personal assistant and administrative support to the CEO and Senior Leadership team at TRT. This will include, helping to organise events and meetings, minute taking and some office management. The role may also involve supporting document creation, liaison with suppliers and ad hoc work supporting our varied projects.

The Role

Trent Rivers Trust is a growing environmental charity and as such generates a lot of administrative tasks. We need someone who can support the CEO and Senior Leadership team with the delivery of a variety of tasks to help keep the charity running efficiently. The Administration Officer will have a varied work programme, supporting diary management, updating key documents and helping to organise meetings and events. There will also on occasion be the opportunity to work with project managers to support tasks associated with bidding, preparing documents and liaising with partners. The role will also include an element of office management, for our office in Darley Abbey, Derbyshire.

Principal Duties and Responsibilities

  • Liaise with the CEO and Senior Leadership team to support them with administrative tasks and organising meetings and activities
  • Support trustee meetings and their organisation and minute taking
  • Help with the recruitment process and liaison with candidates
  • Arrange staff development and training events both internally and externally
  • Office management duties to ensure the wider team have access to relevant IT equipment and resources
  • Liaison with IT providers, landlord and others as required
  • Support and on occasion be prepared to lead the development and implementation of new administrative processes and practices in a rapidly developing environment
  • Provide diary management, arrange meetings, prepare participants: agenda, updates, data and invite guests to meetings as required
  • Take minutes and action points and circulate minutes and store electronically for Senior Leadership Team reference
  • Attend relevant meetings and development days to increase knowledge and stay current with information about TRT projects and activities
  • Provide presentations, write documents as required
  • Assisting with keeping equipment lists updated and support the purchasing of new kit, equipment and clothing
