Job Description – Volunteer Co-ordinator

Reporting to: Project Manager (FareShare East Midlands)

Location: FareShare East Midlands depot in Narborough, Leicestershire.

Hours: Part Time  20 Hours

About FareShare East Midlands

FareShare East Midlands (FSEM) is a local charity fighting food poverty by tackling food waste. We source food that is surplus to requirements- from retailers and manufactures and engage many volunteers to help redistribute this to local charities and community groups and provide meals to vulnerable people (individuals who are homeless, unemployed, socially isolated, School breakfast clubs, community centres and those recovering from addictions).

Our Depots

Operating from our Narborough, Leicestershire and Holmewood, Derbyshire depots, FareShare East Midlands supports over 200 local groups – our Community Food Members (CFM’s).

The depots receive daily deliveries of ambient and chilled stocks from various food companies and with the help of around 40 volunteers monthly, we operate daily shifts to redistribute around 60 tonnes of food each month

Main purpose of this role

This role will work closely with the FareShare East Midlands Project Manager, Customer Services Manager and Warehouse Manager to coordinate and shape our volunteer programme. The safety, development and wellbeing of our volunteers is critical to the successful running of our operation. The role will be split between warehouse and office-based duties . Working in the warehouse will involve supporting volunteers who are on training programmes for example or carrying out inductions and support for corporate volunteers.

Duties and Responsibilities

  • Management of volunteers including recruitment, training, progress plans and disciplinary procedures. On a day-to-day basis this will involve supervising volunteer tasks in the warehouse, providing basic training, managing the volunteer rota and administering volunteer expenses   
  • Oversee the administration, operation and evaluation of our volunteering programme, recording key outputs and outcomes and make continuous improvements as necessary.
  • Take an active role in the ongoing development and delivery of volunteer policies and evaluation, including taking responsibility for volunteer welfare and safety.
  • Undertake a range of communications pertinent to the role including responding to volunteer enquiries and applications in a timely manner.
  • To organise training to meet volunteer needs including food safety, first aid, IT and forklift training and identify opportunities to develop the volunteer training programme resulting in clear pathways to employment   
  • Work with colleagues to explore funding opportunities to support the development of the volunteering programme.
  • To work with partner organisations and placement providers such as Step-Up and Talent Match to take on and track progress of individuals on warehouse placements   
  • To identify and meet with / present to other volunteering partner organisations in order to secure more volunteers
  • To manage our corporate volunteering programme
  • Support the fundraiser with applications for funding to support volunteering growth
  • To arrange volunteer activities and events to celebrate achievements of the team.
  • Carry out any other duties as may be required in order to maintain service for FareShare Leicester.

Person Specification

Essential Experience, Skills & Qualities

  • Experience of managing or supervising staff or volunteers or experience of motivating, engaging and developing teams.
  • Excellent interpersonal skills and the ability to communicate effectively to people with diverse needs.
  • Excellent organisational skills including an attention to detail, an ability to prioritise and meet deadlines.
  • Able to motivate and develop people through positive approaches including networking skills.
  • IT literacy, in particular of using Microsoft applications (Excel, Word).
  • Ability to produce regular electronic reports of activities for the executive and board meetings.
  • Sound numeracy skills.
  • A commitment to Equal Opportunities and inclusivity.
  • Willingness to work flexibly including evenings and occasional weekends (e.g. events)

  • Full clean driving licence and have access to a vehicle

Desirable- Experience, skills and abilities

  • An understanding of Food Safety and Health & Safety legislation
